An AI agent for insurance renewals does one job that half an agent's income depends on: reminding the client in time that the policy is expiring. Not selling something new, just not losing what is there.
The book of business grows, expiry dates scatter across the year, and one day you learn that someone renewed with another broker simply because that broker wrote first. People do not leave their insurance agent over price. They leave over silence.
An AI agent for insurance renewals keeps a policy register in a spreadsheet, watches expiry dates, messages the client ahead of time and raises a task for the agent whenever a conversation is needed. Quoting and paperwork stay with the human. The integrations are Google Sheets, Google Calendar and Telegram.

An agent with three hundred clients has twenty to thirty policies expiring every month. The only way to track them is a list, and the list has to be checked daily. In practice it gets checked when someone remembers, and a share of clients leaves quietly.
The second loss is less obvious. The client renews, but on the last day, in a hurry, with no conversation about anything else. A reminder a month out leaves room to discuss wider cover, home insurance or a policy for the second car.

The spreadsheet holds the register: client, policy type, insurer, start and end dates, premium, contact. Every morning the agent compares today against the expiry column and pulls out everyone at thirty days and at seven.
At thirty days the first message goes out: a reminder and an offer to quote early. At seven days the second, shorter one, leaning on the deadline. The agent marks both sends in the spreadsheet so nobody gets the same message twice. If the client replies, the conversation comes to you, because what follows is a quote rather than a reminder.
| Component | Purpose | Required |
|---|---|---|
| Google Sheets | Policy register and send marks | Yes |
| Telegram | Reminders and tasks for the agent | Yes |
| Scheduled task | Daily date check | Yes |
| Google Calendar | Calls with larger clients | No |
| Gmail | Sending quotes by email | No |
The whole setup rests on the quality of the register. If expiry dates are half filled in, the agent will work honestly through that half and never learn about the rest.
Working with a register in spreadsheets is covered in the Google Sheets automation guide, and the handover logic in the case on AI agents in B2B sales.
A worked example. Assumptions: 300 clients, 25 policies up for renewal a month, 2,000 roubles of commission on an average policy. Renewal rates without reminders run noticeably lower than with them, but the exact share differs for everyone.
| Metric | Without the agent | With the agent |
|---|---|---|
| Policies expiring monthly | 25 | 25 |
| Reminder sent | when remembered | everyone, at 30 and 7 days |
| Agent time on calls | 3-4 hours a month | 30 minutes on replies |
| Room to discuss add-ons | rarely | a month of lead time |
The honest way to count here is not a renewal percentage but the fact that the reminder reaches everyone, on time. Even a couple of retained policies a month at 2,000 roubles of commission covers the setup effort.
It does not price policies or pick programmes. It does not complete paperwork or take payment. It does not answer questions about what is covered: getting that wrong means the client finds out about an excluded risk at claim time.
A reminder is a reminder and an invitation to talk. Everything after that is a person's job.
From your spreadsheet. There is no documented connection to insurers' systems, so the register lives on your side and gets updated when a policy is issued.
Two messages in the month before expiry do not read as spam when they are short and relevant. Trouble starts with weekly reminders, which is why marking sends in the spreadsheet is not optional.
The agent hands the conversation to you and raises a task in Telegram. It does not quote, by design.
Yes, the type is a column and the message template is chosen from it. A motor renewal and a home insurance renewal should not sound the same.
Yes. A column with the responsible agent solves routing: the task goes to whoever owns the client.
Renewals are lost to silence, not to price. The agent closes exactly that gap: it watches the dates, writes to the client early and brings the conversation back to you while there is still time to discuss cover rather than sign something on the last day.
