All data collected on leads lives in your own Notion workspace. ASCN.AI does not keep or have access to your client's information once deployed. Both n8n workflow and Notion database reside solely within your account; thus you retain full control of your data.
For approved HOT leads, an email will automatically be sent by the designer through their Gmail with a Calendly or booking link. For approved WARM leads, email from the studio will include an introduction to the designer's work and at least one of your case studies. For COLD leads a recommendation for something else polite (example: a clothing donation) will be made in lieu of continuing communication with them. All drafts that were rejected will have gone through an AI revision loop with required revisions done by the designer, so that all leads will have had an opportunity to receive a response.
GPT-4o does not simply read through the budget field to make an assessment. The scoring model of the project is based upon 12 different criteria, many of which are reflected in the responses within this qualification form and also inferred based upon patterns of response. ASCN.AI determines the threshold weights for the 12 criteria in the first thirty (30) days of the project from those leads classified as such by the studio's designer.
The Budget range has the highest scoring value for each individual criteria. In addition, the AI will calculate an estimated project value from the number of rooms multiplied by the average renovation cost (per room basis) in your studio's respective market. For example; A four-bedroom villa renovation in Dubai $1,200/ square meter will yield a very different estimated value than simply stating "4 rooms".
Space Count is the second highest weighted criteria. Three (3) or more indicating full renovation = serious commitment. Single room decorating requests typically convert much lower than full-service studios, no matter how much a client has stated that they want to spend. New projects yield higher volumes, therefore requiring an earlier designer engagement and generating longer-term profitable projects.
Timeline for start date urgency is rated on a 5-point scale, with the highest rating assigned to those who want to start working immediately and a rating of lowest assigned to those who have no urgency with an interest in somewhere between someday or not sure. Clients’ previous experience with interior designers also provide an upward advantage when compared to those clients without any prior experience. As such, clients with prior interior design experiences have realistic expectations that they will be able to budget for design service fees. The amount of time clients are willing to be engaged depends on what their desired fit is with the studio.
The degree to which the clients' preferred style matches those displayed by the studio's portfolio is evaluated by the number of inspiration links and selections for styles that the client has shown as of the time they contacted the studio. If a client is interested in a Japandi minimalistic style and reaches out to a studio known for producing a maximalist style, then the AI will flag the lead for human evaluation. The Notion database will be the operational center of this system and houses the leads entered into the system, allows for review of the leads, will allow for approvals of the leads and provides tracking for the leads to completion from point of contact. The Notion database will be built from the ground up during onboarding; no Notion database exists at this point of time. Update to contacts in your database from an email to your contacts or yourself via phone; or just do it via the web.
Create records in your database for contacts referencing contacts or leads from the emails sent out to your customers or from the emails you receive from your customers. After an approval decision is made, there are multiple ways of sending the leads available. The process is the same for either method. You may use the mobile application to approve leads or you may use your app on the phone. A new lead card view shows an AI-generated summary of the lead, AI classification as HOT / WARM / COLD, an AI confidence level, and the email to the contact. After clicking Approved in the lead card, the AI will send the email using Gmail and a link to book an appointment with the studio.

The last line includes a direct link to their calendar. No back and forth for scheduling purposes. The designer sends the email from a Gmail account; it is not created using a CRM mass-mailer.
Email 1 (Day 0): Acknowledge email with a case study from the portfolio related to the style they specified. Email 2 (Day 3): Case study of successful completion of the same price range as the client's project. Email 3 (Day 7): Book your consultation with a calendar link. All emails must receive approval by a single designer prior to the first email of the nurture sequence being sent.
COLD leads will receive an email response rather than no response. An email will acknowledge their request for the renovations, give them the minimum project size available from the studio, and offer to refer them to a studio that can handle smaller renovation projects or to connect again when their project size increases. No lead will receive no response from ASCN.AI; it is a liability because there are so many reviews on Google about bad service from professionals.
